Approval of Previous Minutes
The minutes from October were approved.
Residents’ Forum
Everyone was unanimous in thanking Robin for the best holiday party in Imperial House history, as well as arranging for our largest Christmas tree ever. A wonderful time was had by all.
There was extensive discussion regarding the upcoming inauguration and owners’ desire to take advantage of the opportunity to rent their units for out-of-town visitors. Questions were raised regarding security for all residents of the building, extra burden on front-desk staff, etc. Scott offered to draft guidelines document, which will be reviewed by board via email and distributed. Motion was made and seconded asking him to proceed.
Resident asked about mouse situation. Robin responded that we continue to monitor this and residents are asked to let her know if any mice are seen in the units. The steel wool that was placed into openings can come loose and residents can request that Rashad double check the work done in their units during the main phase earlier this year.
Treasurer’s Report
Jeff reported that everything continues to be going as expected. Andy brought up the fact that some of the positive information from the management company is misleading, since $21,000 needs to be transferred to the capital account to keep our reserves at the level required by the by-laws. We need to build up some cushion so we will be ready for the summer months of June, July and August which are part of our FY 2009.
Landscape Committee
Contract with the current landscape company is due to expire at the end of December. Robin received bids from five companies and one has been chosen. We will be retaining the services of Star Nurseries, LLC, which also provides landscaping for our Dupont East neighbor.
Old Business
Board will review report from Engineering and Technical Consultants regarding water infiltration investigation report and decision will be made via email. Bobbie offered to be our conscience and to remind board members that the document needs to be read and a decision made.
New Business
Board approved bid of $3,204.00 from Star Nurseries, LLC for landscape maintenance for 2009.
Jeff Hops will continue to serve on the board until the time of the annual meeting in April, 2009. Owners will be invited to submit paperwork for election to the board at the appropriate time. Because he is no longer a resident of Imperial House, Lucy Cooney will now act as Secretary-Treasurer until the time of the annual meeting.
